The Butler for Nuclear Families: Sports, Birthdays, Email, and a Family Calendar Everyone Can Trust
Example household: this is an illustration, not a real customer.
Quick answer
This is a hypothetical walkthrough, not a real customer story. It shows how The Butler on Grok Bot can help two parents run sports schedules, birthdays, school email, meals, bills, and chores.
Grok Bot connects to Gmail, Google Calendar, and Google Drive, runs scheduled routines on a cloud computer, and keeps sending, paying, and deleting behind your approval.
Capabilities below come from The Butler's setup guides or official Grok Bot sources on x.ai and docs.x.ai.
No quotes, results, or people here are real. Every capability below comes from The Butler's own setup guides or from official Grok Bot sources (docs.x.ai, x.ai/bot, x.ai/changelog/bot).
Picture two parents, kids in school and sports, and one inbox that never stops. Practice times arrive by coach email, team-app notices, and paper flyers. Birthdays sneak up. Permission slips hide in PDFs. Dinner is still tonight's question.
The Butler is a household-manager setup for Grok Bot, xAI's always-on assistant. It lives on your Bot, works through the Gmail, Google Calendar, and Google Drive accounts you connect, runs scheduled routines on Grok Bot's cloud computer (they keep going when your laptop is closed), reads the photos you send, and sends a morning briefing at 7:45 AM by default.
It works as a partnership. The Butler does the reading, sorting, filing, tracking, reminding, and drafting. You make the calls that matter: sending, paying, deleting, and contacting anyone. That one-tap yes is built into how it works.
Its ten rooms are Mailroom, Appointment book, Filing cabinet, Key cabinet, Ledger, School, House, Shopping, Meals, and Business. Here's what they do for this example family.
Sports, calendar, and birthdays
Kids' sports schedules from coach emails, team-app emails, and flyer photos
The job. Practice changes, game times, and tournament details arrive from three places at once.
How it works. The School room treats coach and team-app senders as school mail. It sorts each message by child and pulls out dates, times, places, and what to bring, with the source. Snap a flyer with the Grok Bot phone app and the Mailroom reads it, files the photo in Drive, and passes the date along. If a photo is hard to read, it asks for a clearer one.
Rooms and connectors. School, Mailroom · Gmail, Google Drive, Grok Bot phone app
Your part. Tell it which coach and team senders to watch, and say yes to the events it proposes.
Sports and family events on Google Calendar
The job. The family calendar only knows what someone typed in.
How it works. The Appointment book catches dates in email, photos, mail, and chat and proposes a ready-made event with the title, date, time, place, reminder, and source. It checks every calendar you list, then flags overlaps and pickup collisions with a suggested fix.
Rooms and connectors. Appointment book · Google Calendar, Gmail
Your part. Approve each event with a quick yes, and it goes straight onto the family calendar.
Birthdays, gifts, and parties
The job. Birthdays and party invitations tend to live in one parent's head.
How it works. When a birthday or party date shows up in an invitation email, a photo, or something you mention, the Appointment book adds it to the Dates coming due list and proposes a reminder. Gift ideas, party supplies, and the cake go on the Shopping list, grouped by store.
Rooms and connectors. Appointment book, Shopping · Google Calendar, Gmail, Google Drive
Your part. Approve the reminder, choose the gift, and do the buying.
Email and documents
Gmail, Calendar, and Drive working together
The job. The form is in email, the date belongs on the calendar, and the signed copy needs a home both parents can find.
How it works. One email is handled across rooms. The Mailroom or School room reads it and its PDF, the Appointment book proposes the date, and the Filing cabinet saves the attachment to the right Butler folder in Drive with a consistent name. Then it all shows up in the morning briefing.
Rooms and connectors. Mailroom, School, Appointment book, Filing cabinet · Gmail, Google Calendar, Google Drive
Your part. Approve the calendar event and anything that gets sent.
Going through the family's documents
The job. Important papers are spread across Drive, email attachments, the camera roll, and a kitchen drawer.
How it works. The Butler works with documents in three ways. It reads files in the Google Drive you connect. It reads files you attach in chat, like PDFs, images, and spreadsheets. And it reads photos you send from your phone, including through the iPhone share sheet. After you approve the Butler folder tree, the Filing cabinet files each document with a consistent name and keeps a Filing index, so you can find anything just by asking. Files on your own home computer stay separate. A Bot can work with them only when you turn on local-computer access, and it asks each time by default.
Rooms and connectors. Filing cabinet · Google Drive, Gmail, chat attachments, phone photos
Your part. Approve the folder plan, and okay any move, rename, or overwrite.
Sorting and labeling email
The job. The few emails that matter look just like everything else.
How it works. Each Mailroom sweep sorts new mail into Needs you, Bills and money, Dates and appointments, School, House, Business, Read later, and Probably junk. Then it hands each item to the right room. Once you approve labels in the setup plan, it applies them in Gmail. On Saturdays it lists senders you never open and suggests an unsubscribe for each one.
Rooms and connectors. Mailroom · Gmail
Your part. Say yes to labels, and pick which unsubscribes to approve.
Drafting and fixing emails
The job. Replies to coaches, teachers, and other parents take more time than they should.
How it works. When an email needs an answer, the Butler writes a reply in your voice and saves it as a Gmail draft. Drafts use your default send-as address and your own signature. You can also hand it something you've started and ask it to tighten the wording, fix the tone, or make it shorter.
Rooms and connectors. Mailroom · Gmail
Your part. Read the draft and send it when it sounds right.
Paper mail
The job. Paper mail piles up on the counter.
How it works. Photograph today's mail. The Mailroom tells you who each piece is from, what it is, and whether it needs you, plus any deadline printed on it. It also files the photo in Drive.
Rooms and connectors. Mailroom, Filing cabinet · Google Drive, Grok Bot phone app
Your part. Snap the photo and decide what to act on.
Triage and the morning briefing
A daily what-needs-you list
The job. Decisions and deadlines are scattered across apps and inboxes.
How it works. Every room feeds one Needs you list: emails waiting on an answer, forms to sign, events to approve, bills due soon, and drafts ready to review. Each item comes with its source. Anything the Butler couldn't confirm goes under Not verified. It never guesses a date or an amount.
Rooms and connectors. Every room · Gmail, Google Calendar, Google Drive
Your part. Work through the list. Most items take a single yes or no.
The 7:45 AM morning briefing
The job. Everyone needs the same picture before leaving the house.
How it works. The Butler Morning Briefing routine builds a short PDF that opens with Needs you today, then gives a section for each room. It saves the PDF to Butler/Briefings in Drive and emails you a five-line summary. Until the email delivery is switched on, the briefing comes to you in chat.
Rooms and connectors. Every room · Gmail, Google Drive
Your part. Approve the first briefing and add one Allow automatically rule for your own address. After that it arrives on its own every morning.
Kids, school, and chores
School mail by child, and What's tomorrow
The job. District, teacher, and PTA emails bury the dates and permission slips that matter.
How it works. The School room sorts mail by child and pulls out dates, forms, things to pack, and money due, all as stated in the source. Each evening it sends a What's tomorrow note. If you sign in to a school portal on the Bot's computer, it reads assignments and missing work without changing anything.
Rooms and connectors. School · Gmail, Google Calendar, Google Drive
Your part. Sign forms, send replies to school, and complete the portal sign-in when it asks.
Reminder emails to your child about homework and lessons
The job. Kids do better with a nudge in their own inbox than a reminder from a parent.
How it works. A routine that you own can email your child's address on a schedule, for example the evening before something is due, with what's due and when, pulled from the School room. Grok Bot routines run on schedule, and email is one of the actions they can take with your approval. The Guide: Kids HomeworkSee Kids Homework adds homework support at home.
Rooms and connectors. School · Gmail, Grok Bot routines
Your part. Approve the first reminder, then add a narrow Allow automatically rule for that one child's address so later reminders go out on their own. Approval cards from routines wait about ten minutes, so the standing rule keeps them on time.
Chore lists
The job. Nobody remembers whose turn it is.
How it works. The Butler keeps a chore chart as a Google Sheet or Doc in your Butler Drive folder. It shows who does what and when, and it updates when you tell it about a change. A routine can post the day's chores in the briefing or remind you at a set time.
Rooms and connectors. Filing cabinet · Google Drive, Grok Bot routines
Your part. Set the chores, then share the sheet with the family. Each share is approved by you.
Meals and groceries
Dinners from what's on hand
The job. What's for dinner? comes up every night.
How it works. Meals keeps an On hand list from your fridge and pantry photos, plans dinners within your allergy rules and weeknight cook time, and includes tonight's dinner and anything to thaw in the briefing.
Rooms and connectors. Meals · Google Drive
Your part. Approve the week's plan. Its missing ingredients then go to Shopping.
The grocery list and an Instacart or Amazon cart
The job. The list ends up rebuilt every week across three apps.
How it works. Shopping keeps one list grouped by store and section, with items added by you, Meals, and House. When you ask, the Butler's browser fills an online cart on a store site you've signed in to, such as Instacart or Amazon. A cart is a draft. It compares prices only from a store page it actually opened or from a receipt, and it tracks order confirmations in Gmail.
Rooms and connectors. Shopping · Google Drive, Gmail, the Butler's browser
Your part. Sign in to the store once, then review the cart and check out yourself.
Money
Bills due and failed payments, from email to the Ledger and the briefing
The job. Bills arrive by mail, email, and app, and a failed payment notice is easy to miss.
How it works. The Ledger reads bill, receipt, renewal, and payment emails, and it watches a bank feed if one is available or the statements you save to Drive. It keeps a Bills tab with payee, amount, and due date as stated. It flags trouble you'd want to see first, like a payment notice that says it bounced or failed, a new or increased charge, a duplicate, or a trial about to end. Bills due in the next seven days and any flagged payments go into the briefing with their source.
Rooms and connectors. Ledger, Mailroom · Gmail, Google Drive, bank feed where available
Your part. Decide what to do about each flagged item. The Butler drafts any email or steps you need.
Paying bills
The job. Knowing what's due is only half the job.
How it works. The Butler's Ledger handles the tracking. It puts each bill in front of you with its amount, due date, and source email, so you can open the biller's own page and pay in a moment. Grok Bot can also pay with X Money or Stripe Link, according to the official changelog. Before any payment it checks with you, and the Butler's Ask first rule makes every payment an explicit yes.
Rooms and connectors. Ledger · Gmail, Google Drive
Your part. You pay, or you approve each payment yourself. Money moves only on your yes.
The house
Filters, detectors, and service dates
The job. Due dates are printed on stickers nobody reads.
How it works. Send a photo of a filter, detector, appliance plate, or service sticker. The House room logs what's printed and sets the next due date from a printed interval, a cited manufacturer page, or a date you give it. It also proposes a calendar reminder and adds the filter size to Shopping.
Rooms and connectors. House · Google Drive, Google Calendar
Your part. Approve the reminder, and book the service or order the part when it's time.
Co-parenting and two homes
Some families split their week across two homes. When the kids spend time in both, The Butler keeps the logistics in one calm, factual place. Add it with the Guide: Co-ParentingSee Co-Parenting.
A shared parenting-time calendar and activities
The job. Handoffs, swaps, and practice nights get lost in long message threads.
How it works. A dedicated parenting calendar shows who has the kids when, plus handoff times and places and the school or activity events that affect handoffs. A swap log in Drive records each request and marks it agreed only when there's written confirmation. When the other parent sends a message, the Butler pulls out just the logistics so you can read the facts first.
Rooms and connectors. Co-parenting logistics, Appointment book · Google Calendar, Gmail, Google Drive
Your part. Approve each calendar change, and confirm swaps.
Medical and dental appointments
The job. Appointments need to be on the right calendar in both homes.
How it works. The Appointment book picks up appointment dates from confirmation emails or photos of appointment cards, proposes the event, and flags clashes with handoffs. The Filing cabinet files related paperwork under Medical in Drive. Sensitive details stay in the document, and the index and briefing only describe it.
Rooms and connectors. Appointment book, Filing cabinet · Google Calendar, Gmail, Google Drive
Your part. Approve each event and decide what to share.
Medical bills and reimbursements
The job. It's hard to keep track of who paid which bill and what's still owed back.
How it works. The Ledger logs each medical bill and receipt from email with the amount as stated and the source. It can also keep a reimbursements tab in the Ledger sheet showing what was paid, by whom, and whether it's been settled.
Rooms and connectors. Ledger · Gmail, Google Drive
Your part. Confirm what's settled, and handle payment yourself.
Messages to the co-parent
The job. Replies need to stay short, neutral, and about logistics.
How it works. When a reply is needed, the Butler writes a brief, neutral, logistics-only draft in your name. It reports facts only, never takes sides, and never contacts the other parent itself. The swap log is a personal organizing record, not legal advice.
Rooms and connectors. Co-parenting logistics · Gmail
Your part. Read the draft, edit it if you want, and send it yourself.
When something needs attention
How The Butler handles its own hiccups
The job. Connectors time out, sign-ins expire, and websites change.
How it works. Grok Bot fixes many problems by itself. It corrects badly formed connector calls, waits out rate limits instead of retrying in a loop, and retries Gmail drafts through temporary limits. It also tells you if something still couldn't go through. Every room has a no-stale-data rule, so when Gmail, Calendar, Drive, or the bank feed is unavailable, the Butler says so in that room's briefing section instead of reusing old information. When a connector needs reconnecting or a site needs a fresh sign-in, it tells you exactly what it needs. Each routine keeps a run history you can check.
Rooms and connectors. Every room · Grok Bot routines and connectors
Your part. Do the step it asks for, like reconnecting a connector in Connect apps or taking over the Bot's computer for a sign-in, and it picks up where it left off.
How the partnership works
- The Butler does on its own: read, sort, file, track, remind, and draft.
- You give the go-ahead for: sending, paying, deleting, changing a password, and contacting anyone.
- Standing rules you choose: for messages you want sent on a schedule, such as your own briefing or a child's reminder, you approve the first one and then add a narrow Allow automatically rule.
- Always sourced: every date and amount comes from an email, photo, file, web page, or something you said. Anything unconfirmed is marked Not verified.
