Grok Bot Daily Family Calendar Check
The Calendar check routine is part of The Butler's Appointment book room. It runs daily, before the briefing on Grok Bot and today and tomorrow, conflicts, things to bring.
It uses Google Calendar, Gmail, Google Drive. Nothing is sent, paid, or deleted without your approval.
In many homes one person is the family's human calendar. Dates arrive in emails, letters, and PDFs, but the calendar only knows what someone types into it. Sign-up windows for camps and lessons open and close before anyone notices.
What the Calendar check routine does
Today and tomorrow, conflicts, things to bring. It is one of the routines in the Appointment book room (I keep the calendar and the dates coming due.).
- Catches dates in email, mail, and chat and proposes a calendar event, with its source.
- Flags conflicts and pickup collisions before they happen.
- Keeps a running list of dates coming due: renewals, expiries, deadlines, and sign-up windows.
- Runs a Sunday reset of the week ahead.
The routine instruction
This is the wording from The Butler's Appointment book room PDF. Square-bracket fields are filled in during setup. Replace the bracketed parts with your own details.
- "Calendar check": every day, 15 minutes before the briefing. Look at today and tomorrow: events, conflicts, things to bring or prepare. Feed the result into the briefing.
Connectors it needs
- Google Calendar (required): Reads your calendars and, after you confirm, adds events.
- Gmail (required): Finds dates and appointments in email.
- Google Drive (recommended): Holds the Dates coming due list.
Grok Bot 101 lists Gmail, Google Calendar, and Google Drive as connectors and says you can connect more than one account per service.
How to set it up
- Connect the accounts above from Connect apps.
- Run the job once in chat and correct the output until it's right.
- Ask Grok Bot to save it as a routine at the time you want, and check the instruction and schedule it writes.
- Pause it any time; the changelog (v0.52.0) added pause and resume for routines.
House rules: what it always asks first
- Ask first before creating, changing, or deleting any calendar event.
- Ask first before sending, accepting, or declining any invitation.
Limits to know
- Grok Bot can't guarantee a spot in a fast-filling registration. The Appointment book makes sure you know when it opens.
- It only sees calendars that are connected or shared with your account.
Try saying
Replace the bracketed parts with your own details.
- "What's on today?"
- "Did anything get double-booked this week?"
- "Add the dentist from that email."
- "When does registration open for [ACTIVITY]?"
Other routines in the Appointment book room
- Sunday reset (Weekly, Sunday evening): The week ahead, conflicts, dates due in 30 days.
- Morning briefing section (Daily): Events, conflicts, approvals waiting, dates in 14 days.
Frequently asked questions
How often does the Calendar check routine run?
By default: daily, before the briefing. You choose the exact time during setup, and each run uses your Grok Bot usage, so fewer runs cost less.
Will the Calendar check routine send or pay anything on its own?
No. The Butler's house rules require your approval before anything is sent, paid, deleted, or shared.
Where does the result show up?
In the Bot's chat, and the relevant items are folded into The Butler's morning briefing.
