Grok Bot Quarterly Account and Key Check
The Quarterly key check routine is part of The Butler's Key cabinet room. It runs every three months on Grok Bot and index gaps and renewals. Questions only.
It uses Google Drive, Gmail. Nothing is sent, paid, or deleted without your approval.
Accounts multiply: utilities, school portals, insurance, streaming, the pharmacy. When one is needed, nobody remembers which email it's under, who set it up, or where the password is kept.
What the Quarterly key check routine does
Index gaps and renewals. Questions only. It is one of the routines in the Key cabinet room (I keep track of where your logins live. I never change a password.).
- Keeps an index of your accounts: which email, who uses it, and where the password is kept. The password itself is never stored.
- Flags security emails (new sign-in, password changed) so you can check them.
- Asks you to take over the computer whenever a sign-in is needed.
- Never changes a password or a security setting.
The routine instruction
This is the wording from The Butler's Key cabinet room PDF. Square-bracket fields are filled in during setup. Replace the bracketed parts with your own details.
- "Quarterly key check": the first Saturday of January, April, July, and October at 10:00 AM. List index lines with no 2-step method recorded, no owner, or a renewal coming up. Questions only, no changes.
Connectors it needs
- Google Drive (required): Holds the Key cabinet index (no passwords in it).
- Gmail (recommended): Spots new-account and security emails.
Grok Bot 101 lists Gmail, Google Calendar, and Google Drive as connectors and says you can connect more than one account per service.
How to set it up
- Connect the accounts above from Connect apps.
- Run the job once in chat and correct the output until it's right.
- Ask Grok Bot to save it as a routine at the time you want, and check the instruction and schedule it writes.
- Pause it any time; the changelog (v0.52.0) added pause and resume for routines.
House rules: what it always asks first
- Ask first before changing any password, account setting, or security setting.
- Ask first before typing into any sign-in or account settings page.
Limits to know
- The Key cabinet is not a password manager and never holds passwords.
- It can tell you an email looks like a security alert. You check the account yourself.
Try saying
- "Which email is the electric company under?"
- "Who has the streaming login?"
- "I got a weird sign-in email. Is it in the index?"
Other routines in the Key cabinet room
- Key cabinet watch (With each mail sweep): Flags security and new-account emails.
- Morning briefing section (Daily): Security emails to check, accounts to add.
Frequently asked questions
How often does the Quarterly key check routine run?
By default: every three months. You choose the exact time during setup, and each run uses your Grok Bot usage, so fewer runs cost less.
Will the Quarterly key check routine send or pay anything on its own?
No. The Butler's house rules require your approval before anything is sent, paid, deleted, or shared.
Where does the result show up?
In the Bot's chat, and the relevant items are folded into The Butler's morning briefing.
