Grok Bot Two-Week School Look-Ahead
The School look-ahead routine is part of The Butler's School room. It runs sundays on Grok Bot and two weeks of deadlines and sign-up windows.
It uses Gmail, Google Calendar, Google Drive. Nothing is sent, paid, or deleted without your approval.
Dozens of messages a week from the district, teachers, the PTA, and coaches. The two dates and one permission slip that matter are buried in a PDF, so parents find out at drop-off. Assignments are spread across portals and emails, and missing work turns up too late.
What the School look-ahead routine does
Two weeks of deadlines and sign-up windows. It is one of the routines in the School room (I sort school mail by child, flag deadlines, and track assignments.).
- Sorts school email by child, and for the whole school.
- Pulls out dates, permission slips, things to pack, and money due, all from the source.
- Sends a nightly "What's tomorrow" note: what to sign, what to pack, what's due.
- Tracks assignments from a school portal if you sign it in. It only reads; it never submits.
The routine instruction
This is the wording from The Butler's School room PDF. Square-bracket fields are filled in during setup. Replace the bracketed parts with your own details.
- "School look-ahead": Sundays at 5:00 PM. The next two weeks of deadlines, events, early dismissals, and sign-up windows. - If Gmail or a portal is unavailable, say so in the note.
Connectors it needs
- Gmail (required): The inbox where school mail arrives.
- Google Calendar (recommended): School dates go on the calendar after you confirm.
- Google Drive (recommended): A folder per child for forms and notices.
Grok Bot 101 lists Gmail, Google Calendar, and Google Drive as connectors and says you can connect more than one account per service.
How to set it up
- Connect the accounts above from Connect apps.
- Run the job once in chat and correct the output until it's right.
- Ask Grok Bot to save it as a routine at the time you want, and check the instruction and schedule it writes.
- Pause it any time; the changelog (v0.52.0) added pause and resume for routines.
House rules: what it always asks first
- Ask first before replying to or emailing any school address.
- Ask first before submitting any form, RSVP, or payment on a school website.
Limits to know
- We found no official Grok Bot features for child accounts or parental controls. This room is set up for a parent's use.
- Portal sign-ins can expire. When one does, you'll be asked to sign in again.
Try saying
Replace the bracketed parts with your own details.
- "What does [CHILD 1 NAME] need tomorrow?"
- "Any permission slips this week?"
- "Is anything missing in the portal?"
Other routines in the School room
- School sweep (Weekdays, afternoon): Sorts school mail by child.
- What's tomorrow (Sunday to Thursday, evening): By child: what to sign, pack, and hand in.
- Morning briefing section (Daily): Today's school items by child.
Frequently asked questions
How often does the School look-ahead routine run?
By default: sundays. You choose the exact time during setup, and each run uses your Grok Bot usage, so fewer runs cost less.
Will the School look-ahead routine send or pay anything on its own?
No. The Butler's house rules require your approval before anything is sent, paid, deleted, or shared.
Where does the result show up?
In the Bot's chat, and the relevant items are folded into The Butler's morning briefing.
