A Google Drive folder structure your bot can use
A bot files well only when it knows where things go. A clear Drive layout, with a few top-level folders and consistent file names, turns 'find the car title' into a ten-second search on your phone.
Grok Bot can read Drive through the Google Drive connector and, per the official changelog, upload files to Drive. That means a scan, a PDF from an email, or a report the bot writes can land in the right folder.
What's possible
- Save email attachments (insurance cards, receipts) into the right folder
- Rename files with a date-first naming rule
- Flag duplicates and loose files in a monthly report
- Keep a Sheet index of every important file
Why it matters
A folder tree that makes sense to a person also makes sense to the bot. It's also what you'll want in an emergency, when someone else has to find a document.
What Grok Bot can and can't do here
| Piece | Status | Notes |
|---|---|---|
| Reading and searching Drive | ✓ Works directly | Google Drive connector, named in Grok Bot 101. |
| Uploading files to Drive | ✓ Works directly | Changelog v0.53.0. |
| Moving or deleting your files | ↺ Works via a bridge | Treat as an approval step. We recommend Ask-first rules for anything that deletes. |
| Paper to Drive | ↺ Works via a bridge | You scan with the Drive app; the bot handles naming and filing. |
✓ = through an official Grok Bot connector, its browser, or a public API. ↺ = needs email, Google, IFTTT, a developer account, or your sign-in. ✗ = no supported route we could find.
The setup, in short
The Google Home Base Setup guide covers:
- Top-level folders by area of life
- A naming rule (date, person, what it is)
- Where scans go before filing
- A monthly tidy report
The house rule in every Butler guide: the bot reads, sorts, files, tracks, and drafts. It asks first before it sends, pays, deletes, or contacts anyone, and it never guesses a date or an amount.
Frequently asked questions
Will the bot reorganize my existing Drive?
Only if you ask, and you should review the plan first. The guide recommends starting with new files and a separate inbox folder.
Can I share the folders with my spouse?
Yes. Google Drive sharing works as usual; the bot works with whatever its connected account can see.
What about sensitive files like Social Security cards?
Store the minimum. Our guides tell the bot never to copy full ID or account numbers into chat or documents; the last 4 digits are enough.
