Grok Bot Nightly Filing Sweep for Documents
The Filing sweep routine is part of The Butler's Filing cabinet room. It runs nightly on Grok Bot and files new items, updates the index, lists unclassified items.
It uses Google Drive, Gmail. Nothing is sent, paid, or deleted without your approval.
Important paper lives in the camera roll, an email attachment, or a kitchen drawer. When the insurance card, the warranty, or the permission slip is needed, nobody can find it.
What the Filing sweep routine does
Files new items, updates the index, lists unclassified items. It is one of the routines in the Filing cabinet room (I file every photo and document in the right Drive folder.).
- Builds one clear Butler folder tree in Google Drive, after you approve it.
- Files each photo and document you send with a consistent name.
- Keeps a Filing index so anything can be found by asking.
- Never deletes, moves, or overwrites existing files without asking.
The routine instruction
This is the wording from The Butler's Filing cabinet room PDF. Square-bracket fields are filled in during setup. Replace the bracketed parts with your own details.
- "Filing sweep": every day at [FILING TIME]. File anything sent or marked as a keeper today, update the Filing index, and list what you couldn't classify.
Connectors it needs
- Google Drive (required): Where every document lives.
- Gmail (recommended): Lets the Butler file attachments you mark as keepers.
Grok Bot 101 lists Gmail, Google Calendar, and Google Drive as connectors and says you can connect more than one account per service.
How to set it up
- Connect the accounts above from Connect apps.
- Run the job once in chat and correct the output until it's right.
- Ask Grok Bot to save it as a routine at the time you want, and check the instruction and schedule it writes.
- Pause it any time; the changelog (v0.52.0) added pause and resume for routines.
House rules: what it always asks first
- Ask first before deleting, moving, renaming, or overwriting any file in Google Drive.
- Ask first before sharing any Drive file or folder.
Limits to know
- The Butler files copies. Your originals stay where they were.
- Blurry or partial photos are flagged, not guessed at.
Try saying
- "File this." (attach a photo)
- "Where's the warranty for the dishwasher?"
- "What did you file this week?"
Other routines in the Filing cabinet room
- Filing tidy report (Monthly, on the 1st): Possible duplicates and leftovers. Changes nothing without your yes.
- Morning briefing section (Daily): What was filed and what needs a decision.
Frequently asked questions
How often does the Filing sweep routine run?
By default: nightly. You choose the exact time during setup, and each run uses your Grok Bot usage, so fewer runs cost less.
Will the Filing sweep routine send or pay anything on its own?
No. The Butler's house rules require your approval before anything is sent, paid, deleted, or shared.
Where does the result show up?
In the Bot's chat, and the relevant items are folded into The Butler's morning briefing.
